We currently have an outstanding career opportunity for a a Proposal and Account Coordinator. The RFP/CRM Coordinator is responsible for reviewing RFPs to develop schedules, outline assignments, and ensure compliance with RFP requirements. This role works day to day with the Engle Martin Business Development team to assemble the best, most comprehensive RFP response to the customer. The role will also assist in managing the Customer Relationship Manager (CRM) and supporting the Business Development (including Sales and Marketing) team with the creation of client stewardship reports, presentations as well as a variety of other sales account admi‚Äčnistrative duties. This role requires a fast learner with a strong attention to detail, who is highly computer literate, smiles under pressure and is willing to take on additional tasks as needed.

  • Follows established company guidelines, vision, and financial outline for completing proposals. Establishes a project plan and manages RFP time-lines ensuring that proposals meet submission requirements and are properly delivered in a designated time-frame
  • Edits and designs the finalized proposal document, communicating the proposal in various ways, as necessary, including graphic layouts and PowerPoint presentations
  • Collaborates with subject matter experts across all functions (IT, HR, Operations, etc.) to create new content to support the responses delivered and ensures that descriptions and other materials used for RFPs are up to date
  • Assists the Business Development team with pricing proposals and contracts for new and current accounts
  • Utilizes the content provided from subject matter experts to update and maintain stored data for future usage and communications, such as services provided, headcount, and team additions
  • Communicates progress of the RFP to those involved, including those involved in the approval process
  • Works with Marketing team to enhance current RFP language to strengthen the Engle Martin brand
  • Translate sales opportunities from the sales team to operations in CRM while maintaining CRM contact data records
  • Establishing work-flows and standards on entering data in the CRM
  • Finds ways to improve usage of the CRM through automating basic everyday tasks
  • Analyzes reports to determine what kind of customer trends the business should respond to
  • Writes training manuals and produces training webinars on how to use CRM
  • Meets with teams to help analyze business trends
  • Assists with building and distributing reports per requests from Sales team within CRM and Power BI platforms
  • Tracks incoming renewals for the TPA business and collaborates with the appropriate salesperson on processing the renewal
  • Creates Client Stewardship Reports utilizing Power BI and other systems. Build reports based on internal Sales requests
  • Assists the Marketing team in identifying client characteristics and transferring them into targeted marketing campaigns
  • Additional tasks and duties as needed
  • Addresses client needs and directs problem resolution as necessary

Job Requirements

  • Bachelor’s Degree, with specialization in Marketing preferred. 
  • Experience working within a CRM as well as experience coordinating RFP responses and sales proposals is required.
  • Experience with Power BI
  • Demonstrates thorough skill set in, or demonstrates ability to quickly master, a variety of office software, including Microsoft Office Suite (including, but not necessarily limited to Word, Excel, PowerPoint, Outlook, Publisher, SharePoint, and Access), internet communication tools, Adobe, and Microsoft Dynamics CRM.
  • Skilled in use of internet for business research purposes; excellent transcription and keyboarding skills (including speed and accuracy).
  • Sound written and oral business communication skills, including formatting and preparation of memoranda, letters, and reports.
